Business Support Team Leader

Salary: £17.18 - £18.85 per hour
Location: Luton

 

Connect2Luton are excited to recruit a Business Support Team Leader on behalf of Luton Borough Council.

Main purpose of position:

To provide a range of complex administrative support to the Children, Families and Education service including data analysis, input and control, carrying out financial and administrative procedures and meeting management and minute taking. To line manage and support Business Support Officers, providing one to ones and development opportunities.

You will be responsible to:

  • Provide line management and oversight of the development of the Business Support Officers, monitoring the workload and make cover arrangements as appropriate. Ensure effective management and support is in place for Business Support Officers. Provide one to one meetings, check ins, and direct support on a daily basis to the Business Support Officers, providing specialist knowledge support and advice as required. To manage staff sickness and performance within procedures.
  • To work on own initiative and compile research and evidence for the production confidential and complex reports as required of.
  • To track, record and monitor correspondence, complaints, annual leave and sickness using computer systems as required.
  • To have strategic oversight of meetings being organised and minuted by Business Support Officers within team. On occasions, quality assure minutes taken by team members, and provide guidance and support as required to strengthen the quality of service. To attend management meetings to participate and identify areas of priority to inform work management.
  • Manage a range of financial functions utilising the Council's Financial Management System and spreadsheet packages, including following procurement guideline, understanding the wider financial requirements and timeframes across the service. Independently process higher value orders and request. Post holder will complete reconciliations of budgets and invoices. Support the Head of Service monitoring staffing budgets within existing teams, administer and report on Grant Fund applications.
  • Collect, collate, analyse and interpret statistical and other management information/ performance data on behalf of service, managing spreadsheets and analysing data.
  • Respond to complex enquiries by the general public including giving information directly where possible recording information as per departmental procedures or passing enquiries on to an appropriate employee or section with the Council.

Skills and Experience:

  • Demonstrable business administrative management experience
  • Demonstrable communications skills - able to communicate clearly and accurately to staff at all levels holding good regard for collaborative style to support service priorities
  • Able to work independently and equally and as a team member to achieve operational outputs with strict deadlines and targets and priorities. Flexible to changing priorities and deploying staff where necessary
  • Demonstrable numeracy skills - able to analyse and interpret data and produce comprehensible statistics and text around data activity being able to form recommendations for data output
  • Demonstrable co-ordination skills, being able to prioritise own and other's work commitment
  • Mentoring, directing, guiding and supporting staff and colleagues
  • Recognized administration qualification to Level 3 or equivalent experience
  • Able to converse with ease with members of the public and provide effective help or advice in accurate and fluent spoken English
  • Able to adjust hours of work on occasions to meet service requirements
