Business Support Officer
Connect2Luton are excited to recruit a Business Support Officer on behalf of Luton Borough Council.
Main purpose of position:
Lead and manage a range of complex administrative support for the Technology Team. Carrying out financial and administrative procedures. Processing orders, purchasing, and monitoring spend. Respond to complex enquiries from internal customers and 3rd party suppliers. Manage day to day activities prioritising where necessary.
You will be responsible to:
·Manage a range of financial functions utilising the Council's Financial Management systems and spreadsheet packages, including following procurement guidelines, understanding the wider financial requirements and time frames across the service. Independently processing higher value orders and requests and bills. Post holder will complete reconciliations of budgets and invoices. ·Respond to complex enquiries by internal users and 3rd party suppliers, including giving information directly where possible recording information as per departmental procedures or passing enquiries on to an appropriate employee or section with the Council. Managing requests for information adhering to GDPR regulations and internal processes. To exercise own judgement in dealing with matters within own remit and escalate matters accordingly. ·Organise supplier quotes and process orders using the council's procurement system. Monitor receipt of goods and ensure supplier payments are processed in time. ·Monitor the Technology Team shared mailbox and group telephony. Exercise judgement in the prioritisation of enquiries and flagging items for urgent attention or escalation. Co-ordinate Team activity, meetings, and rotas. ·Responsible for recording information in line with departmental procedures. Create and maintain the teams document library including the programme of projects.

Skills and Experience:
- Demonstrable experience of working in a business support environment
- Demonstrable experience of undertaking a range of support and complex administrative activities
- Excellent planning, organisation, communication and coordination skills, ability to multi-task and handle multiple tasks to a high standard to meet conflicting deadlines
- Work on own initiative and able to plan own work programs and team members
- Proficient use of Microsoft Office (Word, Excel, Outlook, Microsoft project)
- Able to deal effectively and collaboratively with a wide-range of people in a courteous but assertive manner and able to exercise high levels of tact and diplomacy. Able to compile well written and grammatically correct documents
- Able to respond to deadlines and effectively manage agreed projects and to prioritise workload against competing service demands
- Qualification relevant to the job or equivalent experience and training
- Able to adjust working hours to meet service and job demands
